How to find the right PhD supervisor and make professional contact
A practical method to build a supervisor shortlist, assess research fit, and write a concise, tailored first email.
By the TSR Services team•Reviewed by Omar Alomair••7 min read
The short answer
The right supervisor is not necessarily the most famous. Look for recent expertise that overlaps with your question, method, and context, and first check that the programme permits contact. Search department pages and recent publications, assess fit before writing, then send a short tailored email. Attach an academic CV and a concise draft only where the guidance allows, and follow up once.
Who is this guide for?
This guide is for applicants with a research area who want to move from a broad name list to realistic potential supervisors.
Practical steps
1. Turn the idea into search terms
Create keywords for topic, method, context, and application. Use English synonyms because university pages and publications may describe the field differently.
2. Start with the department and research group
Search staff, centre, and laboratory pages, then review work from the last three to five years rather than relying on an old biography.
3. Build a fit matrix
Assess each person across topic, method, context, and evidence of current supervision or projects. Remove superficial matches.
4. Check the contact rule
A school may require contact, discourage it for some routes, or use a specific form. Follow the official page before sending an email.
5. Write a tailored email
Introduce yourself in one line, connect your idea to recent work, summarise the question, and ask about fit and availability. Keep the first message concise.
6. Attach only useful material
An academic CV and short proposal or summary are often enough when permitted. Name files clearly and make sure every claim is accurate.
7. Follow up respectfully
If there is no response, send one follow-up after 7–10 working days. Silence may reflect availability or workload, not the quality of the idea.
Checklist before you move on
Programme guidance permits or requires contact
You read at least one recent piece of the supervisor’s work
There is clear topic or method overlap
The email is tailored, not a mass template
CV and files are current and clearly named
The request is specific and easy to answer
Common mistakes that weaken an application
Choosing only by reputation
Using the wrong university or name through copy and paste
Sending a full proposal without guidance or invitation
Making a generic request for admission or funding
Following up repeatedly within a few days
Do this now
Choose five potential supervisors and record one piece of recent evidence for each fit. If you cannot find clear evidence, do not email yet.
