How to write a PhD research proposal: a clear, feasible structure
A practical guide to the problem, questions, gap, methods, contribution, and timeline, aligned with university requirements.
By the TSR Services team•Reviewed by Omar Alomair••9 min read
The short answer
A strong proposal does more than show that a topic matters. It defines a focused question, a defensible gap, an appropriate way to answer it, and a project that can be completed within the doctorate. Start with the programme instructions, then create a logical chain from problem to questions, methods, and contribution. No single structure or word count applies to every department.
Who is this guide for?
This guide is for researchers with an initial idea or draft who want a coherent research argument while retaining full ownership of the work.
Practical steps
1. Start with programme guidance
Check the required length, structure, and assessment criteria. Some programmes do not require a full proposal, while advertised projects may ask for a fit statement instead.
2. Define a researchable problem
Move from a broad topic to a focused problem: what is known, what remains unclear, and why does that uncertainty justify research?
3. Turn the gap into questions and objectives
Each question must be answerable with the proposed data and methods. Avoid objectives that do not serve the central question.
4. Use literature to build the argument
Do not assemble disconnected summaries. Compare findings and debates, then show how they lead logically to your study.
5. Justify the methodology
Explain the design, data or sample, analysis, limitations, and ethics. A label such as qualitative or quantitative is not enough.
6. Explain contribution and fit
State the expected conceptual, methodological, or practical contribution, and why the department, supervisor, and resources fit the project.
7. Test feasibility
Break the project into phases and connect the timeline to data collection, analysis, and writing. Identify main risks and reasonable alternatives.
Checklist before you move on
Focused title without promising a result
Problem and gap supported by current literature
Controlled central and supporting questions
Objectives aligned with the questions
Justified and feasible methodology
Ethics, limitations, and risks identified
Expected contribution stated without overclaiming
Timeline and references follow the required style
Common mistakes that weaken an application
Presenting a broad topic instead of a research problem
Claiming no studies exist without adequate searching
Using methods that do not answer the questions
Overstating an unmeasurable contribution
Ignoring the word limit or departmental guidance
Do this now
Test the draft with one sentence: “Because X remains unknown in context Y, I will use Z to answer Q.” If the sentence does not work, rebuild the link between the problem and method.
